Terms and Conditions

1. Purpose
The purpose of this Agreement is to set forth the terms and conditions under which the Client is granted free access to CV Ready Pty Ltd’s database of pre-screened candidate CVs for the sole purpose of recruitment and placement.

2. Access and Verification
2.1. Only companies with valid registration documents will be considered for portal access.
2.2. Verification and approval may take between 24 to 48 hours.
2.3. Once approved, the Client will receive login credentials to access the online CV portal.
2.4. Each CV is tagged with a unique reference code for verification and tracking with CV Ready Pty Ltd.
2.5. CV Ready Pty Ltd reserves the right to terminate portal access immediately in the event of a violation of this Agreement or non-compliance with the POPI Act.

3. Scope of Screening
Each candidate CV accessed via the portal may include:
- A short introductory video (confidential use only)
- Professionally formatted CV layout
- Basic employment history
- Summary of qualifications
- Criminal background check
- Unlimited view and download access for approved users

4. Mandatory Candidate Consideration
The Client agrees to consider all CVs received via CV Ready Pty Ltd for any open positions. No external CVs will be accepted by the Client unless they have been processed and formatted by CV Ready Pty Ltd.

5. Client Responsibilities Under POPIA
The Client acknowledges and agrees to comply fully with the Protection of Personal Information Act (POPIA), including but not limited to:
- Lawful Processing: CVs must only be used for legitimate recruitment purposes, with appropriate legal grounds.
- Purpose Specification: Data may only be used for evaluating candidates for job roles.
- Data Minimization: Access only what is necessary.
- Openness and Transparency: Clearly inform candidates how their data is used.
- Security Safeguards: Maintain robust security to prevent data breaches.
- Data Subject Rights: Uphold candidate rights (e.g., access, correction, deletion, objection).
- Operator Agreements: Ensure any third-party processors are bound by data processing terms.
- Retention and Deletion: Do not retain data longer than necessary.
- Breach Notification: Promptly report any data breaches to the Information Regulator and affected individuals if required.

6. Candidate Selection Process
The Client agrees to tick a confirmation box for every CV considered suitable for a vacancy. This step acknowledges formal review and potential engagement with the candidate.

7. Confidentiality
7.1. All information accessed via the CV portal is strictly confidential and intended solely for internal recruitment purposes.
7.2. The Client shall not share or distribute candidate data to any third party without written consent from CV Ready Pty Ltd.
7.3. CV Ready Pty Ltd will not be liable for any missing data or errors within the CVs or for any misuse of data by the Client.

8. Term and Termination
8.1. This Agreement is effective from the date of approval and will remain valid until terminated.
8.2. Either party may terminate this Agreement with 14 days’ written notice.
8.3. CV Ready Pty Ltd reserves the right to immediately revoke access if the Client breaches this Agreement or fails to comply with POPIA or any data handling protocols.

9. General Provisions
9.1. This Agreement represents the entire understanding between the Parties and supersedes all prior agreements.
9.2. Any amendments or modifications must be in writing and signed by both Parties.
9.3. The Client confirms that they have read and understood the obligations and agree to comply with the conditions set out in this Agreement.
